Employee availability

Know who can work before you build the week

Employees keep their availability up to date from their phone: the hours they can work each day, their days off, and the dates they need off. When a shift clashes with it, you find out before the schedule goes out.

Availability is on the free plan, for teams of up to 10 people.

Fix shiftsPublish anyway
An employee's availability, and the warnings it produces at publish time.

Three kinds of availability

Regular hours, days off, and one-off dates.

Hours each day
Monday 6 AM to 2 PM, Thursday from noon. A shift outside those hours gets flagged.
Days off
The days someone never works, like every Wednesday for a student with a lab.
Unavailable dates
Specific dates blocked out, like a wedding on the 26th. Only that date is affected.

At publish time

A clash shows up as a warning with a name and a day.

Press Publish and the week is checked against everyone's availability. Each clash is listed plainly: who, which day, which shift, and why. Sometimes you schedule someone anyway because they offered, so the warning never blocks you.

Marked unavailable on this date
The shift is on a date the person blocked out.
Has this day off
The shift is on one of their regular days off.
Scheduled outside their available hours
The day is fine but the shift starts too early or ends too late.

With the schedule generator

The generator only places people when they're available.

On Pro, the schedule generator drafts a week from your staffing needs. With Respect availability switched on (the default), nobody is placed on a day off, outside their hours, on a blocked date or during approved time off.
