The blank template
One row per person. Write shifts as start and end times (7:00–3:00) and leave the cell empty on days off. Add a row for every person on the team, including part-timers who only work weekends.

A filled-in example
Here's the same template for a small shop open 7 AM to 9 PM on weekdays, with shorter hours on Sunday. An opener and a closer overlap in the middle of each day, and the busiest days get an extra person.
| Employee | Role | Mon | Tue | Wed | Thu | Fri | Sat | Sun |
|---|---|---|---|---|---|---|---|---|
| Maya R. | Opener | 7:00–3:00 | 7:00–3:00 | off | 7:00–3:00 | 7:00–3:00 | 8:00–4:00 | off |
| Jordan K. | Closer | 1:00–9:00 | 1:00–9:00 | 1:00–9:00 | off | off | 1:00–9:00 | 12:00–6:00 |
| Priya S. | Staff | off | 10:00–4:00 | 7:00–3:00 | 10:00–4:00 | off | 10:00–6:00 | off |
| Luis M. | Staff | 10:00–4:00 | off | 10:00–4:00 | 1:00–9:00 | 1:00–9:00 | off | 10:00–6:00 |
| Ana P. | Shift lead | off | off | 10:00–6:00 | off | 10:00–6:00 | 11:00–7:00 | 8:00–4:00 |
A few things to notice in the example:
- Every day has someone starting at opening and someone finishing at close.
- Nobody closes and then opens the next morning.
- Nobody goes over 40 hours for the week.
Using the template
- List your opening hours for each day across the top, above the day columns.
- Fill in the openers and closers first, then the busy periods, then the rest.
- Add a total-hours column on the right and check nobody is over their limit.
- Share it where everyone can see it, and keep last week's copy to start the next one.
